Registration
The venue will be creating the cards and passes prior to the event. At current buy rate, I think we should sell out sometime next week, although this may change :) The venue has a defined entry point for delegates only, and there will be a member of security on hand to assist if needs be. I think we'll need 3 volunteers to man this from around 8:45am through to 9:30am. Those people can rotate during that time with one being front of house at the doors to point the delegates in the right direction. There will be a plasma screen displaying information for our conference, but I still think it would be good to have someone just in case. It also means that if the volume gets high, that person can help out to make the registration quicker until the numbers drop a bit.
After 9:30am, I am unsure as to how long we'll need to keep someone down there on registration. The venue informs me that the desk can be manned until 11am. Later attending delegates will then need to register at the reception(wireless) desk upstairs in the delegates lounge.
Volunteers:
Demian Turner, Matt Raines, Robert Atkinson, Jon Ramsey - I can't get to the conference before about 9:30, but I'm happy to man the desk from then on.
Wireless
There will be a desk upstairs where we can dish out the login cards for the WiFi connections. There will be 4 nodes to connect to, so whoever mans this area will need to distribute the load across the nodes to help ensure the contention keeps roughly the same across the 4 nodes. That's as much as we can control.
Volunteers: Rich Harrison , [backup volunteer needed] (I'm happy to be the backup here, just note I will be doing the roving mike at the 9.30am talk - Hugo Rumens)
Rich: I'll be in early so can help with user-reg/wifi stuff. I wouldn't mind catching either 11am or 1pm talks in addition to the framework talk.
Conference Compere
Matt Raines will be top and tailing the talks. i.e. the initial welcome and safety notices to the delegates. This should be at 9:25am. And the final thanks at around 5:30pm.
He'll also be liaising with the sponsors during the day and announcing the prize winners.
Breaks & Lunch
Please be aware that you will be needed to point delegates in the right direction for breaks and lunch. This may mean leaving a talk a minute or so early to be near the doors and guide people out and helping to establish a queue for the lunch, and hanging outside for a minute or so in the delegates area to guide people to the right talks.
Talk Rooms
Martin Meredith and Richard Foster have agreed to be the room managers for the conference. This basically means that they will introduce the speakers prior to the talk and time the sessions so that they complete on or around the specified end times as shown in the schedule. Please note that the 2nd track room can only take 75 delegates as a maximum, so head counts will need to be made for that room.
Martin and Richard, please try to speak to the relevant speakers, either at the pubcon or on the morning of the event, so you can familiarise yourselves with their talk and any last minute changes. Please agree with the speakers how you will indicate 5 mins to go and finishing the talk.
Main Track room manager: Martin (morning) Richard Foster (afternoon), Second Track room manager: Richard Foster (morning), Martin (afternoon)
For the framework talk, Richard Harrison will be conducting proceedings, so the room manager can act as the roving mike if needs be.
Both rooms will need a helper for the roving mike. Zoe and Anthony may be able to act as the roving mike for each other's talks, but the other talks do need a roving mike allocating, so please volunteer. You'll only really be required in the Q&A section of each talk - usually the last 10 mins or so.

- Hugo Rumens
- Lessons Learned - Experience from the front line
