Minutes

Overdue actions from last meeting

  • DN to collate the available MP3s of talks, and get them online.
  • DN to investigate podcast channels for the monthly talks.
  • MR to find out if wifi can be made available at the Theodore Bullfrog.
  • MR to investigate food options at the Theodore Bullfrog.

Admin

  • SM intends to stand down after the conference. It was agreed he need not register as a signatory at HSBC.
    • The executive (except SM) to attend HSBC together with proof of identity and register as signatories.
  • MR has applied for e-banking access but the forms haven't arrived. MR to go to HSBC and re-request Internet banking and credit card forms.
  • MR to reconcile the bank accounts in Freeagent.

Conference

  • The Business Design Centre in Islington is booked for 26 February 2010.
  • The next payment of about £7,500 is due on 11 December and we are unlikely to be able to pay it.
    • It was agreed using a personal credit card is a last resort and should only be taken after the venue threatens to pull out.
  • MR to approach potential sponsors, including Tek, Rethink, Microsoft, Ibuildings, Oracle, Paypal, eZ, and BullBearings.
  • MR to check with the community partners from last year that they are still happy to promote the conference.
  • Everyone agreed with DN's suggested ticket payment schedule.
    • DN to update the website with venue details and start selling tickets.
  • Everybody would like to be involved in setting up the speakers. SM to provide a list of speakers he has compiled. The executive to vote on the speakers.
  • It was agreed to open with a single track keynote followed by 5 hour long talks in 3 tracks.
    • There was disagreement whether half hour sessions were sensible in the third track.
  • JC to investigate hotel options for speakers.
  • JC to investigate restaurant options for the speakers' dinner.
  • MR to arrange insurance with last year's provider, Hiscox.
  • We get a discount on the AV if we book soon but it isn't much. It was agreed to hold off on this.

Meetings and talks

  • MR to block book the Theodore Bullfrog for a further 6 months.

Next meeting

  • We agreed to meet mid-December with updates.
